Job Summary:  The Admissions Coordinator plays an important role in organizing and facilitating the day-to-day operations of the Admissions Department, providing administrative and tactical support to the Director of Admissions. This individual will act as a representative of the department and assist the Director of Admissions in managing processes, deadlines, communications, and events. This individual will act as a facilitator and supporter to ensure the success of the department’s mission and the efficient functioning of the department.

Essential Functions: The Admissions Coordinator consistently performs the following responsibilities:

  • Provide day-to-day support to the Director of Admissions in planning and executing Admission processes and prospective parent and student interaction.
  • Serve as a welcoming, professional and approachable point of contact for all those who engage with the Admissions Department.
  • Support and execute deliverables for admissions projects as assigned by the Director of Admissions.
  • Prepare and manage correspondence, meeting notes and admission documents while maintaining confidential files and records of potential new students and families.
  • Prioritize incoming communications, ensuring timely responses.
  • Facilitate clear, efficient, and timely communications regarding admissions, events, and confidential matters.
  • Maintain and coordinate the Director of Admissions’ calendar.
  • Serve as the tactical liaison between the Admissions Department and on- and off-campus communities, fostering collaboration, coordinating meetings, and managing processes for meetings and initiatives. 
  • Support and facilitate internal division and department relationships, stewarding resources well and considering administrative and community needs. 
  • Assist the Director of Admissions with the onboarding of all new families and new students to ensure a smooth transition into the Covenant community.
  • Coordinate with Covenant support departments to ensure events, collateral materials and physical locations are prepared and ready for Admission activities. 
  • Manage departmental expenses, including processing invoices, reimbursement and check requests, and providing monthly financial updates to the Director of Admissions.
  • Attend coordinator meetings with peers from the other divisions and departments. 
  • Assist the Director of Admissions and the Events Manager with logistics and preparation for Admission events.
  • Coordinate any volunteer support as needed.
  • Perform other duties as assigned by the Director of Admissions.
  • Manage the admissions and enrollment portion of FACTS

Minimum Experience and Background:

  • A four-year bachelor's degree from an accredited college or university is preferred.
  • Strong organizational and administrative skills and keen attention to detail.
  • Technical proficiency with Google Workspace.
  • Ability to handle sensitive information with confidentiality and professionalism.
  • Strong interpersonal and communication skills.

  • Must be able to stand and walk for extended periods, lift and carry materials or equipment weighing up to 25–30 pounds, bend, stoop, or kneel to assist students, and actively supervise students during indoor and outdoor activities
